Cancellation policy:

The following policy applies to the cancellation of bookings made with us for the rental of Torna de los Ramos, Frigiliana. By booking with us you agree to abide by this policy.

We will always try to be flexible on cancellations, where at all possible, but strongly recommend that you take out insurance to cover cancellations that you have to make, or that we have to make due to events that are outside our control, to cover any costs that you might incur.

IF YOU NEED TO CANCEL YOUR BOOKING:

Where you inform us that you wish to cancel your booking, we will endeavour to relet the property. If we are able to relet for the total period you were due to rent the property, we will reimburse the monies paid, less an administration fee of 10% of the total booking cost.

If we are not able to relet the property, the following will apply:

1.         After the deposit is paid but before the balance is due:

  • if you have paid the deposit but cancel before the balance due date (which is 6 weeks before the date of arrival), the deposit will be refunded less an administration fee of 10% of the total booking cost.

2.         After the balance has been paid:

  • If you cancel between 4 and 6 weeks before your date of arrival, 2/3 of the total booking cost will be refunded.

  • If you cancel between 2 and 4 weeks before your date of arrival, 1/3 of the total booking cost will be refunded.

  • If you cancel less than 2 weeks before your date of arrival, no refund will be provided, other than in respect of certain costs, such as cleaning and utilities, which will not have been incurred. The certain costs amount will be made known at the time.

IF WE NEED TO CANCEL YOUR BOOKING:

If there are any unforeseen circumstances (other than those referenced in the ‘excluded from above’ section below) that mean we are not able to let the villa to you and you have not yet arrived at the villa, we will fully reimburse all monies that you have paid to us for the rental. If you are already at the villa the refund will be on a pro-rata basis (*). Such circumstances could include, but are not limited to - building, plumbing or other emergencies at the property, including utility outages, that make the property uninhabitable during your stay. This does not include small problems or issues that arise while you are at the property, which we will endeavour to resolve as soon as possible.

(*) Please note that in these circumstances, no additional payments such as compensation will be payable from us to you.

Excluded from the above is where the villa is habitable and available for you to occupy but you are not able to do so due to circumstances outside our control. In these situations, no refund will be payable. This includes but is not limited to - global or local pandemics, flight cancellations or airspaces being shut down that restrict or curtail travel to the villa.

Personal Privacy Notice

This notice explains what information we collect, when we collect it and how we use this. During the course of our activities, we will process personal data (which may be held on paper, electronically, or otherwise) about you and we recognise the need to treat it in an appropriate and lawful manner. The purpose of this notice is to make you aware of how we will handle your information.

WHO ARE ‘WE’?

Sarah Jane Ollerenshaw of 58 Hartismere Road, LONDON, SW6 7UD, takes the issue of security and data protection very seriously and strictly adheres to guidelines published in the General Data Protection Regulation (EU) 2016/679 which is applicable from the 25th May 2018, together with any domestic laws subsequently enacted.

We are notified as a Data Controller with the Office of the Information Commissioner under registration number ZB693862 and we are the data controller of any personal data that you provide to us.

The information collected from you and what information is collected:

We collect information about you for the following reasons:

·       From your interest in renting Torna de Los Ramos (the property)

·       In renting the property

The following information is collected about you:

·       Name of individual enquiring about renting the property and their email address;

·       Passport details of people staying at the property: full name, date of birth, place of birth, nationality, sex, passport number and date of issue and photograph.

Why this information is needed about you and how it will be used

·       to enable us to supply you with the information which you have requested;

·       to enable us to provide you with the services you require in renting the property; and

·       for all other purposes consistent with the proper performance of our operations and business.

Sharing of Your Information inside and outside of the UK

We are required by law to share your information with the Guardia Civil, a Spanish authority, who require copies of the passports of each person staying at the property, which we must provide to them via their designated portal.

We will not otherwise share, sell or distribute any of the information you provide to us, either within the UK or outside of the UK, without your consent.

Security

When you give us personal information, we take steps to make sure that your personal information is kept secure and safe.

How long we will keep your information

We review our data retention periods regularly and will only hold your personal data for as long as is necessary for the renting of the property, including for being in compliance the laws of the UK and Spain. Your Rights

You have the right at any time to:

·       ask for a copy of the information about you held by us in our records;

·       require us to correct any inaccuracies in your information;

·       make a request to us to delete what personal data of yours we hold; and

·       object to receiving any marketing communications from us.
